Reporting Policy

PRINCIPLES

  • All year groups are reported on in as similar a style as possible, except for the Settling In report in S1.
  • Pupils are reported on twice in S1, once in S2, twice in S3/4 and once in S5 and once in S6.
  • All subject comments are written by subject teachers.
  • All reports, except the S1 Settling In report are written so as to indicate Strengths, and Development Needs.
  • All reports are accompanied by a response and target setting form. (Appendix 1)
  • Pupils of year groups 1-4 have their effort, conduct and homework reported on in the same manner which is a scale from Excellent to Poor. S5/6 have commitment assessed on the same scale. (Appendix II)
  • All reports are discussed individually with the pupils and their Personal Guidance Teacher and appropriate targets are set.
  • Pupils are actively encouraged to attend parents’ evenings with their parents.

PROCEDURES

For all full Reports

  • Teachers’ comments should be constructive and positive.
  • Teachers should keep in mind certain key issues involving in Reporting – i.e. Strengths and Development Needs relating to success criteria.
  • The language used by teachers should be easily understood by the pupil and the parent.
  • Any teacher with a concern about progress being made by a pupil completes a “Student Concern Form” (See Appendix VI) and passes it to the PT who will interview the pupil. In turn there will be PGT involvement and parents may be informed.

S1/2 Reporting

S1 Settling in Reports

This is a brief report, which is completed after pupils have been in the school for approximately eight weeks. The purpose of the report is to give a general indication as to how a pupil is settling into secondary school and to give some indication of any problems or strengths apparent at this stage.

A letter from the pupil’s Personal Guidance Teacher giving their views on progress so far, accompanies this report. There is also a simplified Parental Response sheet on which the parent and pupil can give their views on the settling in process. This and the report are used to form the basis of a discussion between the PGT and the pupil at which academic and attitudinal targets for the future are set. (See Appendix 1)

S1/S2 Full Reports

Attainment

The format of the reports is common throughout S1 and S2. The reports indicate the 5–14 level the pupil is working towards. This may be indicated as an overall grade or a grade in the various strands. There are also graded responses for Homework, Effort and Conduct. There are also guidelines prepared for written comments on the report. (See Appendix III)

S3/4 Reporting

The style of the S3/4 report is by nature a transition between the Junior and Senior School report. (See Appendices IV and V)

Space is provided for assessment in the individual elements in Standard Grade Courses as well as the Overall Grade. Reporting of attainment is on a ‘Predictive Grade’ basis i.e. expected Standard Grade award if present grade of progress is maintained.

A facility is provided to indicate levels of effort, conduct and homework as in S1/2 reports.

A large space is left for teacher’s comments and advice in Specific Targets and Learning Strategies. As always, professional judgement should be employed as to what is appropriate to write here. Staff should aim to be as positive as possible and to provide specific advice in the Specific Targets and Learning Strategies sections.

A response sheet is included with each of the reports to allow for two-way communication with parents.

S5/6 Reporting

Senior Record of Progress

The Senior Record of Progress is held by all senior students and it is designed to be shared with parents and a student’s Personal Guidance Teacher. It contains a record of progress through Fifth and Sixth Year. A student will set personal targets and reviewthese withhis/her Guidance Teacher at intervals throughout the year. The file also contains a record of National Qualifications end of unit test results and course assessment results. Teachers initial each entry to validate the results and write a comment, if appropriate.

Students and parents are encouraged to share the Senior Record of Progress and, in addition, PGTs send a letter home in the Autumn Term which gives a brief statement about a student’s progress in each of his/her courses.

The Senior Report

The Senior Reports are completed and issued in December, the timing taking into account the need to feed into the choice of course procedures from Fifth Year to Sixth Year.

A report is completed for each course, see attached example. The estimate grade for course award can be A, B, C, “Fail – near miss” (45–49), or “Fail” (44 or below). In the Unit 1 and Unit 2 boxes, teachers can enter “passed”

The student reports have a personalised card front cover (Appendix VII) and a spine bar in House colour. A response sheet (Appendix VII) is issued with each report.
